ATV Rental Software: Bookings, Waivers, Deposits and Damage Claims in One Place

ATV and UTV rental software should handle four jobs: bookings, waivers, deposits and damage claims. Here's what to set up and where operators get burned.

ATV Rental Software: Bookings, Waivers, Deposits and Damage Claims in One Place

Every ATV and UTV rental runs on four jobs. You take the booking, get a signed waiver from every rider, hold a security deposit, and settle any damage when the machine comes back. Do all four well and a rental is easy money. Let one slip and a side-by-side goes out with an unsigned waiver, or comes back with a cracked fender and no proof of when it happened.

Most shops run those four jobs in four places: a booking calendar, a waiver app, a card terminal and a notebook of damage photos. Good ATV rental software puts them in one place, so each step can see the one before it.

This guide walks through each job: what UTV and ATV rental software needs to handle, what to set up, and where operators get burned. Full disclosure: we make Renta. We also run AlpMX Adventures, an off-road rental shop in Southern Utah. We rent dirt bikes and e-motos rather than side-by-sides, but our rentals run on the same four jobs, and the examples come from our own setup.

How one rental flows from booking to deposit release

Each step leans on the one before it. The waivers need the booking's riders. The deposit needs the booking's machine and dates. The return inspection needs the pickup inspection to compare against. And a damage claim needs all of it: who rode, what they signed, and what the machine looked like when it left.

What breaks when the four jobs live in separate tools

  • Riders slip through unsigned. A waiver app doesn't know that a booking for four riders has only three signatures.
  • Deposits get missed. A hold taken on a card terminal isn't tied to the booking, so it's released late or never taken.
  • Condition photos go missing. Pickup photos on a staff phone don't help when a customer disputes the damage two weeks later.
  • Claims turn into arguments. Without the waiver, the deposit terms and both inspections in one record, it's your word against theirs.

Bookings: what ATV and UTV rentals need

A side-by-side booking is more than a time slot. It's a machine, a group of riders, the gear they'll wear and sometimes a trailer or a delivery. Your booking flow should handle all of it before payment:

  • The rates riders expect. Half-day, full-day, multi-day and weekly pricing. AlpMX's KTM 300SX rents for $210 a half day or $275 a full day.
  • Group bookings. One booking for a family or a group of friends, with every rider listed, so each one gets a waiver to sign.
  • Guided rides. Sell tours as time slots with a capacity and a minimum number of riders, or add a guide to a rental. Either way, a tour should block the machines it uses, so nobody rents them out from under the guide.
  • Gear and add-ons with real stock. Helmets and boots by size, so a booking can't promise a large helmet you don't have.
  • Delivery. If you trailer machines to customers, charge by distance at checkout. AlpMX delivers up to 100 miles from its Washington, Utah shop at $1 per round-trip mile, with the first 5 round-trip miles free.
  • Rider rules before payment. Required checkboxes and file uploads at checkout. For riders under 18, AlpMX shows Utah's youth rider rules and asks parents to upload the rider's OHV education certificate.
  • Turnaround time. Buffer time between rentals, so a machine gets washed and inspected before the next group shows up.

Waivers: every rider signs before the machine leaves

The person who booked isn't the only person at risk. On a four-seat UTV, four people need to sign. These are the waiver rules worth building into your software:

  1. One waiver per rider, not per booking. AlpMX's dirt bike waiver is set to per rider, so a group of four means four signatures.
  2. A parent or legal guardian signs for minors. AlpMX's waiver says no other adult, such as a friend, relative or group leader, can sign for a child.
  3. A waiver that fits the machine. AlpMX uses one waiver for dirt bikes and a different one for paddleboards. Off-road terrain, mandatory gear and mechanical failure belong in an ATV waiver, not a paddleboard one.
  4. Proof of who signed. AlpMX's waivers require a selfie and a photo of the rider's ID, so nobody can later claim someone else signed.
  5. Deposit and damage terms in writing. AlpMX's waiver states the $400 deposit per bike and that the renter is responsible for damage. That sentence does a lot of work in a claim.
  6. Reminders before pickup. An automatic reminder for unsigned waivers means you're not chasing signatures at the counter.
  7. Signed waivers on the customer record. When a claim comes in, you find the signed waiver in seconds instead of digging through email.

This isn't legal advice, and waiver rules vary by state. Have a local attorney review yours. Our guide on how to write a rental waiver that protects your business covers what to include.

Deposits: when to hold, when to release, how much

First, a definition, because the word gets used two ways. A booking deposit is part of the rental price paid up front, with the balance due later. A security deposit is a hold on the customer's card that protects you against damage, and it's released when the machine comes back clean. This section is about the second one.

Hold it, don't charge it. A hold reserves the money on the customer's card without taking it. If the machine comes back clean, the hold simply drops off. If there's damage, you charge what the repair costs.

Time the hold to the rental, not the booking. Card holds expire. Stripe says a hold on an online card payment is usually valid for 7 days, and some are shorter. A hold placed when someone books three weeks out is gone before they ride. AlpMX places the hold one day before pickup, keeps it for seven days and then releases it automatically.

Size it to the damage you actually see. AlpMX holds $400 per dirt bike. Price your UTV deposit to cover the repairs that come up most often on your machines, like plastics, mirrors and tires, and let your insurance handle the rare big loss.

Get the extra-damage terms agreed at checkout. Before paying, every AlpMX customer ticks a box agreeing that their card can be charged if damage costs more than the deposit. That checkbox, plus the same line in the waiver, settles the "you never told me" argument before it starts.

Watch the deposits report. A weekly look at deposits held and released catches any hold that should have dropped off and didn't.

Damage claims: inspect, document, then charge

A fair damage claim is one the customer can't argue with, because the proof was collected before anyone was upset. Here's the process:

  1. Inspect at pickup, with the customer there. Walk the machine with the same checklist every time, and photograph what's already scratched. AlpMX's waiver notes that the pre-rental inspection happens in the renter's presence.
  2. Inspect at return with the same checklist. Same items, same order, so anything new stands out.
  3. File a damage report on the booking right away. Photos and a note, tied to the booking, the unit and the rider. If customers return through a self check-in kiosk, they can file the photos themselves.
  4. Move the report through its stages. Reported, assessed, repaired, closed. "Assessed" means you have a repair quote, not a guess.
  5. Take the machine out of service until it's fixed, so it can't be booked with a broken part.
  6. Charge for the documented repair, and show your work. Send the customer the pickup photo, the return photo and the repair cost. If the repair costs more than the deposit, the checkout agreement and the waiver cover the rest.

Keeping all of it on one booking record also protects you from chargebacks. AlpMX has completed 82 rentals since May with zero chargebacks.

Frequently asked questions

What is ATV rental software?

ATV rental software is a booking and operations system for shops that rent ATVs, UTVs and other off-road machines. Good ATV rental software takes online bookings, collects a waiver from every rider, holds security deposits and records the machine's condition at pickup and return.

What should UTV rental software include?

At minimum: online booking with half-day and full-day rates, group bookings, one waiver per rider, security deposit holds that release automatically, inspection checklists, damage reports with photos, and maintenance tracking by engine hours.

How much should a security deposit be for an ATV or UTV rental?

Enough to cover the repairs you see most often on your machines, such as plastics, mirrors and tires. AlpMX holds $400 per dirt bike. Ask customers to agree at checkout that their card can be charged if damage costs more than the deposit.

How long can you hold a deposit on a card?

Not indefinitely. Stripe says a hold on an online card payment is usually valid for 7 days, and some are shorter. Place the hold close to pickup, not when the customer books.

Does every rider need to sign a waiver?

Yes. On a group booking or a multi-seat UTV, every rider should sign their own waiver, and a parent or legal guardian should sign for anyone under 18. Check your state's rules with a local attorney.

How do you handle damage to a rental ATV?

Compare the return inspection with the pickup inspection, file a damage report with photos on the booking, get a repair quote, and charge the documented cost against the deposit. Send the customer the photos and the quote.

How much does ATV rental software cost?

It varies by vendor. Renta costs $0 a month on its commission plan, where riders pay a 2.5% fee at checkout, or $300 a month flat with no rider fee. Card processing is extra.
